Donation privacy notice
This notice explains how Shanthi Vihara and Meditation Centre collects and uses personal information when you submit a renovation project donation pledge.
Who is responsible for your information?
Shanthi Vihara and Meditation Centre is the data controller for this donation form. Contact: info@shanthivihara.co.uk.
What we collect
We collect your first name, last name, email address, phone number, number of shares pledged, donation amount, payment reconciliation status, and the date and time of your pledge. If you say you are a UK taxpayer and make a Gift Aid declaration, we also collect your house number or house name, post code, and Gift Aid declaration confirmation.
Why we use it
We use donation information to administer your pledge, show project fundraising progress, reconcile bank transfer, PayPal or Stripe payments, maintain charity accounting records, and claim Gift Aid where you have made a valid declaration.
Lawful basis
We process donation administration data because it is necessary for our legitimate interests in managing charitable donations and keeping proper records. Gift Aid and accounting records may also be processed because we have legal obligations. Public donor recognition and fundraising update contact are used only where you have given consent.
Public recognition
Your name or display name will not be shown on the public donor list unless you tick the public recognition consent box. If you do consent, we display your chosen display name or a shortened version of your name, your donation amount, shares and date.
Marketing and fundraising updates
We only use your email or phone for future fundraising updates if you give contact consent. You can withdraw consent at any time by contacting us.
How long we keep information
Donation and Gift Aid records are kept for 7 years after the end of the accounting year, unless a longer period is required by law or HMRC audit requirements. Contact consent records are kept Until consent is withdrawn or the contact becomes inactive.
Who we share it with
We may share relevant records with HMRC, our accountants, auditors, website hosting provider, payment providers where applicable, and trustees or authorised administrators who need access for donation administration.
Your rights
You may ask to access, correct, erase or restrict your personal information, object to processing, or withdraw consent where consent is the basis for processing. Some records may need to be kept for legal, accounting or HMRC reasons.
Security
The site uses password-protected administration, prepared database queries, CSRF protection on forms, and role-limited access. Hosting should also use HTTPS and secure backups.
